- Please clean your machine at least once a month. See link below for instructions on cleaning your machine.
- Please, do NOT share your password! Not only is it a university violation, but it is simply not a wise thing to do. Users that share their log ons and passwords will have their access rights revoked.
- ALWAYS cross shred your checks in-house 14 calendar days after the check have been scanned. Using an outside agency is not an acceptable way of destroying your scanned checks.
- NEVER make copies or print scanned images of the checks or the reports. Confidential account numbers/information are on these items and they should not be printed or copied. NEVER stored PDF images of scanned checks on your computer.
- Checks should be deposited daily. Unless approved by Treasury, make sure your deposits are scanned and TRANSMITTED prior to 4:00 p.m. each day.
- Do not override the system on foreign items. If the check looks foreign, but has a US bank name, but does not have a MICR line, or account number on the bottom, it is more than likely foreign. If in doubt, please call!
- Do not override the system on duplicate checks.
- Keep your anti-virus scans current and active on your computer.
